If you have not heard of the term mind mapping yet, now is a good time to learn about it. You will certainly be missing out on a lot of things if you are still using the old
‘listing’ technique or taking down notes when studying, mapping out a plan or drafting an outline for a project at school or at work.
Not only does mind mapping eliminate the need for tedious lists, but it also works the same way that the human brain works, so coming up with a mind map or concept map is a breeze for anybody who wants to try it out.
So how does mind mapping work? This technique involves the illustration of ideas on paper. Think of it as literally drawing a ‘map’ of what you are actually thinking.
First, what you need to do is write in the center of the paper a word which represents the main theme or central idea. From that one word, you can think of other words associated with this central idea which can be connected to the main word with the use of branches. A branch from the main theme could have a sub-branch which is another word associated with the keyword, and so on – let the process evolve from there.
Once the entire paper is filled out with your ideas, the entire illustration will merge into a whole, which you can easily remember, picture in your mind and understand.
Now that you have a basic idea of what mind mapping is, take a look at the numerous benefits of mind mapping:
• You can save a lot of time and effort when using the mind mapping technique, instead of the traditional ‘listing’ method.
If you are fond of using itemized lists when taking down notes from a lecture, or even planning a vacation trip – imagine the amount of time and effort that you will save if you will use mind mapping instead. With mind mapping, you can eliminate the unnecessary details and just concentrate on what is important to you.

This is especially applicable for students who are studying for an exam. There are several reasons why people procrastinate instead of finishing work right there and then: fear of the results, perfectionism, boredom, anger, ill health, distractions, misinformation and even the amount of work that needs to be done. All are perfectly reasonable and all are perfectly understandable. However, procrastination is one of those bad habits that can have underlying reasons. And to avoid it, you have to understand why you do it in the first place. If you know the reason, then you can find a solution.
You find it hard to throw things away: Ask yourself – are you a pack-rat by nature? Is it because of sentimental reasons? Do you abhor empty spaces so you just have to fill it up with something? Could it be that you were deprived of these things as a child and now you want to compensate for that lack? Understanding why will help you to sort out things properly or be more disciplined when it comes to things to store. For example, you love reading fiction – instead of hoarding your books, set up a scale to judge how good the book was and either give-away or sell the bad ones then just store the great ones. That way, you get to still indulge in your passion and leave room for more.
You can’t start/finish the work that you need to do: First, do you really know how to do it? Do you have the materials needed? Are you afraid that the result won’t be good? Or are you comparing it with somebody else’s work or even your own previous work? Are you bored with the job? Do you think the amount of work that you will do is not going to be worth it? Whether it’s a thesis or novel or cross stitch project, if you keep on pushing the schedule away, it won’t get finished. Instead of procrastinating, challenge yourself then – treat each project as different as the ones you’ve finished. In all aspects, you are only as good as your last work, so what’s the use of comparing?
You don’t have time: Is this stress talking or do you have a medical condition that requires attention? Needless to say, you have to find out if you can’t physically do the work. If you are juggling three roles at the same time – let’s say, you’re a breadwinner, a parent and a community volunteer – you really can’t keep on promising to be the boy’s baseball team coach at the same. There’s not enough time to do all. Learn to set priorities and answer only to what you can finish.

Here is the joke. A man is like a thread ball. If you hold him weakly, he unravels. If you tie him, then he runs away. The same thing happens with workers in businesses.
Different companies use time management techniques to control their workers’ work time differently. There are the SOOW (scientific organization of work), specifications, etc. What schedule should be chosen for employees: rigid or flexible? The worker’s efficiency depends more on how they take care of business than from whether they come on an hour earlier or later.
Let’s first understand how time management really can help to your organization.
The bad thing that often happens is when the company uses time management to tie people up.
They toughen the people to the work schedule, raise standards, etc. Usually they assign the project completion time spontaneously and make workers struggle.
Very often it is impossible to complete the project on time. People start to complain. The project’s due day is postponed. Sometimes people work overtime and complete the project on time, and then they get assigned to the next project with an even more tied schedule.
Some companies use some time control tools to record all workers’ activities through the day. For example: they force employees to keep track of everything that they did within the working day. First of all: it drives everybody crazy and second: it takes away time for constant recording of what has been accomplished. You can use time control but only for a short time. That information can be used later to set a correct estimate for future projects.
So, how to use time management methods wisely?
First of all, it is better to start with a system analysis of the entire organization, to find out where time flows away and find those reserves which can be used. For example: use a secretary to take all calls and eliminate unnecessary ones, also the secretary can filter all mail that the office receives. Just this can save a lot of time for people in the office in general.
Secondly, find where the weakest part is in the organization. Usually, it is in the department where unexpected situations constantly happen and it delays all work in the company.
Thirdly, analyze and find the 20% of business that brings in 80% of profit, then make that direction mandatory and try to adjust your business around it.
Fourthly, develop a business manual to simplify everything that is possible; create templates for every form and blanks that you use in business, instructions that contain the answers to your common business questions. Train your employees.
There are some more interesting and practical methods. I am sure you heard the Japanese system that is called Kaizen. That system consists of five simple steps:
1. Inventory: get rid of all unnecessary documents.
2. Keep everything in order: Define a place for each thing in your office.
3. Keep the workplace clean.
4. Standardize business procedures to keep everything clean and in order.
5. Always look to improve order in your office. Support it.
Some people can say that it is impossible to do this in real life. This is not true. There are already many companies, especially in the USA that have successfully implemented this method.
But these kinds of methods you can only implement from top to bottom and they can really reduce the time loss in business.
If a person stops wasting time on unnecessary things in the office, just because of that he automatically does work more quickly. Especially when all standard operations are automated. When everybody can find everything easily and quickly, everybody knows who and for what is in charge. The atmosphere in the office becomes very friendly and productivity goes up.
The Kaizen system has some limitations. What is good for an assemble line maybe not be practical for some professions like designers, advertisers, singers, actors, etc. In those professions it is important to find a balance between absolute order and the creative disorder.
If the personnel do not see the benefits of any innovations in the office, then they will critically perceive all innovations, even if they can really improve business. Every worker must understand the benefits of the new system for the business and himself.
If a person realizes that he doesn’t need to be afraid, if because he by accident he once forgets about some issue, he won’t be punished, he will work much better and love all new innovations in the office.
But if productivity rises and workers get more new responsibilities it is important to find a way to reward them for that. So make sure you have some reward system on hand.
What kind of schedule is better - rigid or flexible, where and why? If there is a creative type job then you need to make a special decision. If the worker can work independently and can use modern systems of communications then he may have a flexible schedule. You estimate his job by the end result.
If the job needs teamwork and the business demands close interaction between various employees and departments - a rigid schedule will be in place. In this case, when everyone is in the office, it speeds up the work.
Between those opposite methods there are a lot of varied methods too. It could be that some workers are working in a flexible schedule and the rest of the firm by the rigid one.
I believe that it all depends on the business nature. What is good working for one company will be a killer for another. It is like: if you need an accountant to be in the office all the time, you won’t hire an accountant that prefers working a couple days from home.
Time management can improve and raise the work efficiency in the office but can also make the workplace more comfortable, nice, and pleasant. True efficiency is when people work with pleasure, feel their importance, and receive fair compensation. I am talking not just material but moral, as well.

Time Management is like a baby’s toy – a small pyramid on a stick. Time-management is a stick around which all our life turns as wheels and is strung on our time. We can talk a lot about how to put things in order on your table or how to properly file documents. But all this is only marks on our wheels. We always want to put them in the proper order: the biggest at the bottom, the smallest on the top. We sense that it is necessary to go more deeply to feel the values and beliefs that actually lead us through life.
So, what are actually our real values in life? Let’s not mix up them with jewelry or money. The real values are those that we believe in, those that we protect, those that we trust in. If we believe in the victory of validity – this is our value. If you believe that everybody around are your enemies and they want to harm you. Think what kind of values you have and maybe this is the time to change them.
Many values we have from our childhood. Sometimes we don’t think about our values and beliefs. We accept them as is. If we will analyze our values, we will find that some of them we picked by accident just like a cold.
What to do? If you don’t like your values and beliefs – change them. How? Try to review them and find those that for some reason you don’t feel anymore. Is it safe to do that? Yes, it is safe but you have to start this procedure very carefully. Think first what for what you used to have those values and beliefs and can you change them to others that will work better for you and help improve your life.
Let’s play a small game.
Think of something that would be important for you to have. For example, you dream about a nice vacation, want have a high-paying job, or learn some foreign language. Right down to the beliefs that you have. For example: “I don’t deserve to have a vacation on Hawaii”, “I don’t have time and money for that”. Do you feel the difference between your wish and those statements? Try to recollect the voice with which those statements that have been made in your mind. Perhaps, you heard those statements from somebody once and they got stuck in your head. You recognize that they lead your thoughts all your life. Do you want to get rid of them? First of all decide if you need that dream. Maybe if your dream comes through it will hurt somebody important to you and you will feel sorry afterwards. Would it be better for you to select another belief? Do that and examine it again.
Here is a common list of values and belief. Check it and see if some of them help you to achieve your goals.
1. Achievement of the specified result is a step to current success and self-development.
2. The person possessing a specified ability deserves equal compensation.
3. The specified result is possible to achieve because there are people who have reached it
4. The specified result is possible because I can accomplish some goals more quickly than other people.
5. You can develop your ability higher than the people that are initially talented.
6. The result can be reached independently (I have all the necessary resources).
7. The more effort you put in the beginning, the easier it will be and the more quickly you will reach the result at the end.
8. If you have reached even a part of the result it is possible to reach the entire result
9. There are well known people that begin small.
10. If your chosen way is a dead-end, leave it and take another one.
11. You can learn a lot from other people.
12. Persistence helps to move ahead.
13. Achievement of the given result influences my uniqueness and supports it.
Choose 5 - 7 beliefs that are suitable to you. If you think about some more beliefs add them to you list and use it.
Write down the beliefs on sheets of paper and spread them out on the floor in the form of a circle.
Go from sheet to sheet; try to remember where and when you thought about that belief. If you can’t remember then try to imagine what you will think if it will become your belief.
When you finish a circle pass on it once again, thinking about the purpose and passing it through those words which are written down on a sheet of a paper. Stop for a minute and look now at the sheets in another angle. What will be, if you will take to yourself these beliefs?
Are you satisfied with those beliefs? Do you need to modify or change anything?
If it is necessary, change and pass on a circle once again. Repeat this procedure until all beliefs satisfy you.
When you will be completely satisfied with all your beliefs check the circle once more and try to come up with some metaphor. It could be, for example, that a yellow autumn leaf fly in air or it can be some line from your lovely song, etc.
Congratulations! You just learned how to change your beliefs. Of course they don’t work that easily, we must really want to achieve the desirable and to put efforts for its achievement, but it is the next story …

Do you know in advance with what kinds of things you will be involved in tomorrow, next week, or within a month?
– No.
– Not always.
- Vaguely.
When a person doesn’t have a clear picture of the things that he must take care of, then all those things look like a huge, chaotic pile of big and small tasks and problems. As a result his brain has to constantly consider plenty of things (take out the garbage, buy something for dinner, record a show, prepare for the test, buy pills, etc.) Sometimes it is difficult for the person to understand what is important and what is not important, what is urgent and what can wait a little. Many things are simply forgotten or stay unnoticed. Thing get taken care of in a chaotic order depending on the unpredictable external reminders. For example: a phone ring can remind him that he forgot to pay the phone bill which his spouse asked him to do three days ago.
It is no wonder that such a person will be under constant pressure and practically without mental rest. If this kind of condition lasts long, then it can lead to serious nervous breakdowns. Tiredness accumulates, losing self confidence, and happiness disappears.
What to do?
There is only one solution – time management. Learn how to organize things in time.
Here are the some tips:
1. Make a list of tasks.
Take a sheet of paper and write down all things that need to be done, for example within a week.
2. Order those tasks and events in the list.
Review the list, you will find there are some complicated and some simple tasks. The complicated tasks divide into smaller pieces. For example: you are invited to a birthday party on Sunday. This event you have to break into three parts: buy a gift, prepare the clothes, and attend the party. As a result of this order the list looks more accurate and tasks are not that stressful.
3. Divide the list into two parts: the list of regular tasks and the list of other tasks.
What kind of tasks do we consider as regular?
Those are the tasks that you have to repeat everyday or the ones that you have to do every day, every week, or every month. For example: To walk the dog is necessary every day, cleaning the house – once a week, pay the bills – once a month.
Decide what tasks in your list are regular and mark them. Other tasks are the tasks that you don’t have to do right away and they appear seldom. For example: repair a TV or purchase printer ink. They will be included into the list of other tasks.
4. Transformation of irregular tasks into a regular.
Let’s see our list of other tasks. They are the ones that create unexpected difficulties. However you can find some tasks that you can move to a list with the regular tasks. For example: usually you can have a haircut when you don’t like the way you look. But you can change that and have a haircut always in a first week of every month. So, that way you can move tasks to a regular tasks list.
Also to a regular tasks list you can move such tasks as reading magazines, visiting theatres, shopping, and many other things. It will allow you to save time, to be prepared for tasks in advance, and stay with the schedule.
5. Split tasks between the ones fixed in time and ones that have a time frame. Different tasks have different time frequencies.
Do laundry, you can do once a week, for example, on Saturday. Go to the library – once in two weeks. Those are regular tasks that have a time frame. Across them you have to put the particular day, for example, on Saturday, on each second Monday, etc. But in your list there are also tasks that are not only regular but also strictly fixed in time, for example, yoga classes that are two times a week on Tuesdays and Fridays from 6.00pm to 8.00pm. Check what else on your list are rigidly fixed time tasks and mark them.
6. Convert the regular tasks into ones strictly fixed in time and strap the particular time to them.
Many regular tasks that have a time frame you can strictly fixed in time. It will facilitate their accomplishment. Let’s assume that you decided to go to a library every second Monday after work from 6.00pm to 7.00pm. Is there any other of your tasks that you can establish a specific time? Move from conditional regulation of your time to a fixed, increases how many tasks you can accomplish. The tasks that are fixed in time turn into ‘must’ type tasks so it becomes difficult to avoid them.
7. Define the level of urgency of irregular tasks.
For each irregular task you have to define the level of urgency and specify the exact time when you want this task to be done. There are the most important tasks in the irregular tasks, for example, you find that you are out of salt which means you have to buy it today. That’s why the purchase of salt will be considered as a primary task. There are not very urgent tasks but if you keep them on the side for a long time they can turn into urgent ones. For example, if you won’t pay your telephone bill, then the phone company turns off your phone. Because of that, instead of a half an hour task you will spend many stressful hours fighting with the Phone Company to get your service back. It is better to avoid those kinds of things. Therefore among irregular tasks on your list find those that can become urgent. Mark them and specify the time in which you can finish them.

Life these days is very complicated and intense. So many things need to be done and be completed on time at work and at home. Monday morning when I start my work week, and I look at the schedule for the week, at all the tasks and projects that I have to work on, my head starts spinning and I tell you, my friends, this is not a good time to talk to me. I understood that I have to do something about this. I started to go through time management materials on the web and in libraries and so far here is what I found that I think makes sense and that I will try to learn and follow. Here they are:
1) You can’t schedule creativity.
Our activity is various and that mean that we can’t measure it by the same rules. If everyday routine work that doesn’t need generation of ideas can and must be done by an accurate schedule and under approved procedures, the same rules are not appropriate for mind work – generating ideas or finding the answer to a complicated problem. Brain storming and discover alternative solutions needs different approach. A strict schedule for that kind of work just destroys the efficiency.
2) Sense the time.
The feeling of time comes slowly. It is possible to speed up this process, just imagine that your time is a very valuable item for investment. Would it be a pity to waste the precious “investments” for constant breaks from work because of all kind of small and unimportant occurrences? It is important to ask yourself similar questions more often, it helps.
3) Record all daily events.
Yes, I understand it sounds boring and useless. But to understand where you are losing valuable time it is necessary to catch somebody or something that takes that time away from you. You can only achieve that by carefully trucking the time of each event that happened during the day. Try to keep track of this for a month or at least for two weeks. You will see, the result will be shocking. For example, smoke breaks are tacking on about two hours, chatting with coworkers an hour - hour and a half, doing somebody’s job another forty minutes. The day is flying away just by the blink of the eye.
4) The chaos or the order.
Research shows that a certain level of parity between order and chaos gets more benefits for work than ideal order. We are created the way that during certain moments of our life we need to have some disorder. For example, it doesn’t make any sense to keep in order all your papers on a desk during work time but it is important to put things in order before leaving home. Especially consider that everybody has their own understanding about chaos and order. And if you are comfortable in working in a certain environment it will be silly to force yourself by trying to put things in order just because somebody wanted you to.
5) Don’t blend short and long term projects.
One of the most common mistakes in time management is a mixture of different level plans. There are projects that can be completed in a week, there are projects in a month, and there are strategic projects for year. The project’s completion needs to be planned based on the corresponding period and must be estimated accordingly. At the end of the week the weekly projects need to be reviewed, at the end of the month – the monthly, and so on. Project priority should be determined by completion time and importance of project. It makes sense to split the big project into many small ones because it easy to control and correct them.
6) You need a rest.
That employees work without breaks and weekends is the number one sweet dream of the majority of business owners. But even if such a way of work would be possible the efficiency of it will be very low. The way the human being is built, it needs 3-5 minutes of rest every hour, to get off from work and have a rest so to continue to be productive. Work without rest leads a person to exhaust the resources, and to restore them takes a much longer time and effort than just to have a 5 minutes break every hour.
The level of efficiency is reduced too. For the same time the worker performs a smaller volume of work with lower quality.
7) Think first – do later.
You probably heard the expression “Don’t rush to carry out the order, it could be canceled”. I‘ll say that this expression can be applied to time management too. I read a few articles about that strategy. The main idea is: to create an environment so it would be easier to reach the goal, practically by itself. For example: if a worker performs his job in time with top quality but he needs to have work hours from 11.00am to 8.00pm, so it is more efficient to let him work in this schedule than to try to teach him to start early in the morning. The same concept is possible to apply to some tasks. If the problem can be solved by itself and time allows waiting then it makes sense to wait. Use this time for some more valuable projects.
8) How to start your work day.
It is so hard to start the work day for majority of people but don’t consider this as laziness. We just need something that will boost us. Some experts suggest starting your day with a small treat that will bring you to a good mood. It could be a cup of tea or coffee, music, a small chat with a friend or coworker, etc. It is very important to find your own treat that will help you to start the day, especially if you need to work on an unpleasant problem. One of the ways of self-motivation is to start the day with the accomplishment of some small problem that gives you positive satisfaction and a good mood for the rest of the day.
